Terms and Conditions
1. The Wine Society Member Moments Competition is open to all members of The Wine Society who are residents of England, Wales, Scotland and Northern Ireland, aged 18 years or over, except employees of The Wine Society, members of The Wine Society’s Committee, their families, agents or any third party directly associated with administration of the competition. In entering the competition, you confirm that you are eligible to do so.
2. No purchase is necessary to enter the competition. For help with entries, please contact Member Services on 01438 741177 or email memberservices@thewinesociety.com.
3. In order to be entered into the Member Moments Competition, and in with the chance to win a Prize, the entrant must be a member of The Wine Society and submit a story related to their membership of The Society [See entry eligibility and judging criteria below).
Entry Dates
4. The opening date for entries is 10am on Wednesday 10th January 2024
5. The closing date is 11:59pm on Wednesday 28th February 2024
6. Winners will be notified during the week commencing 11th March 2024
The Prizes
7. The Member Moments Competition is for a chance for one member to win a pair of tickets to one of The Wine Society’s Celebration Lunches to be held on Sunday 8th September 2024 at one of seven venues around the UK. There will be five runner-up prizes of a magnum of The Society's Champagne Brut. The first prize is worth at least £320 with the runner-up prizes worth £70 each.
8. The prizes are subject to availability, non-exchangeable and no cash or wine alternative is offered. The prize will be awarded within 30 days from 11th March 2024.
9. The prize is supplied by The Wine Society. The Wine Society reserves the right to replace the prize with an alternative prize of equal or higher value if circumstances beyond The Wine Society’s control make it necessary to do so.
10. The winner will receive entry into their chosen Celebration Lunch on Sunday 8th September 2024, a welcome drink and a four-course meal paired with wine. Travel and accommodation costs are not included. The winner must arrange their own travel. Any other costs incurred in addition to those set out in these terms and conditions and that are incidental to the fulfilment of the prize are the responsibility of the Applicant and their Guest.
Entry Eligibility
11. Only one entry per member is permitted. Entries on behalf of another person will not be accepted.
12. The Wine Society will not accept entries that are (a) illegible, have been altered, reconstructed, forged, or tampered with, (b) not original, or (c) incomplete. The Wine Society will not accept entries completed by third parties or in bulk. The Wine Society reserves all rights to disqualify you if your conduct is contrary to the spirit or intentions of the competition.
13. Entries must be submitted in one of the following formats:
- A written piece (between 50 and 400 words) submitted in a word document or PDF, typed and written in English
- A photograph (high resolution, 300dpi jpg format, max 10MB)
- A piece of artwork in a medium of your choice (max size A4)
- A short video clip (no more than 60 seconds) mp4, .mov, avi, and .wmv
14. Entries must be sent to arrive at The Wine Society before 11:59pm on Wednesday 28th February 2024 either:
- by email: to societynews@thewinesociety.com with the subject: 'Member Moments Competition' or
- by post: to Joanna Goodman, Senior Editor, FREEPOST RRZZRKEEUUYJ, The Wine Society, Gunnels Wood Road, Stevenage, SG1 2BT.
15. Entries must include your name, email address, telephone number and Wine Society share number.
16. Entries received after the closing date will not be valid and will be automatically disqualified. The Wine Society accepts no responsibility for entries not successfully received, or completed due to a technical fault, technical malfunction, computer hardware or software failure, satellite, network, or server failure of any kind.
17. Entries that are defamatory and do not adhere to the rules on the promotion of alcohol will not be considered. Please refer to Alcohol - ASA | CAP.
18. Entries not submitted in accordance with the entry instructions will not be eligible for consideration.
Judging
19. The judging will be fair and independent. All entries will be judged anonymously. The Wine Society will send the full names of judges to anyone who writes within one month of the closing date of the competition requesting the details of the judges. Please contact memberservices@thewinesociety.com.
20. All eligible entries will be reviewed and judged initially by at least two internal experts with publishing experience. They will produce a shortlist of approximately 12 submissions which will then be put forward to a judging panel (this shortlist is not officially published).
21. The judging panel will comprise The Society’s Chief Executive, The Society’s Head of Brand and Content and an independent judge who is a creative professional from outside The Wine Society.
22. On or before Monday 11th March the panel will together discuss and select the winning entry and five runner-up prizes. The winning prizes will be awarded to the authors of the best submissions, in the opinion of the judging panel.
23. In reaching its decision, the judging panel will be looking for the best Society-related anecdote, memory or moment, in written or visual form, that will resonate with fellow members.
24. The judges’ decision (acting reasonably) is final and no correspondence or discussions will be entered into.
Ownership of Competition Entries and Intellectual Property Rights
25. The Wine Society does not claim any rights of ownership of your competition entry submission.
26. You agree that The Wine Society may, but is not required to, make your entry available on its website: https://www.thewinesociety.com/, social platforms, community channels, printed marketing collateral and any other media, whether now known or invented in the future, and in connection with any publicity of the competition.
27. You agree to grant The Wine Society a non-exclusive, worldwide, irrevocable licence, for the full period of any intellectual property rights in the competition entry submission and any accompanying materials, to use, display, publish, transmit, copy, edit, alter, store, re-format and sub-licence the competition entry submission and any accompanying materials for such purposes. The requirement is for publication by The Wine Society for a period no longer than 18 months after the winner has been selected. After this time, the entry will be deleted from The Wine Society’s records.
28. The entrant waives in favour of The Wine Society all the moral rights in their competition entry submission to which the entrant is entitled including any under the Copyright, Designs and Patents Act 1988.
29. Subject to clause 31, The Wine Society shall accord the relevant entrants whose work is used, published or reproduced by The Wine Society, credit on any use, publication or reproduction of the relevant entrant’s competition entry submission. Such credit to be placed as close as possible to the entrant’s competition entry as and such credit is intended to name the entrant by their forename, surname and county as set out on the members’ share register form, but The Wine Society shall not be obliged to name the entrant.
30. The entrant warrants, represents and undertakes that:
30.1 they are the sole owner of their competition entry submission;
30.2 the competition entry submission is their own original work and has not been copied wholly or substantially from any other work or material or any other source;
30.3 it is not defamatory, indecent, obscene, discriminatory and it does not contain any criminal material (relating to terrorism, pornography, racism and xenophobia);
30.4 the competition entry submission does not infringe any third-party rights;
30.5 any persons featuring in the competition entry submission have consented to their feature or (as applicable). Those featuring in the submission will be aged 18 or over. The Wine Society may require you to provide proof of consent or release from such persons that feature in the entrant’s competition entry submission; and
30.6 that there are no conflicting agreements in place that restrict the usage by The Wine Society of the entry submission.
31. If you object, and wish to assert your moral rights, to any, or all, of your forename, surname, county and winning entry being published or made available, please contact The Wine Society on 01438 741177 or email memberservices@thewinesociety.com. In such circumstances, The Wine Society must still provide the information and winning entry to the Advertising Standards Authority on request.
Administration and Communication
32. The Wine Society will contact the winners by phone or email using the telephone number and email address provided with the competition entry to notify them of their win, and to confirm arrangements. This contact will take place during the week commencing 11th of March. If the winner does not respond to our contact within 21 days, then the winner will be deemed to have automatically forfeited the prize, and another winner will be selected from all eligible entries. The Wine Society will make all reasonable efforts to contact the winner. The Wine Society does not accept responsibility if you are not able to take up the prize.
33. The Wine Society will never ask you for your bank details in order to redeem your prize.
34. Entries will not be returned to members and members will not be notified if their entry is unsuccessful.
35. The decision of The Wine Society regarding any aspect of the competition is final and binding and no correspondence or discussion will be entered into about it.
36. Participants are deemed to have accepted and agreed to be bound by these terms and conditions upon entry. The Wine Society reserves the right to refuse entry or refuse to award the prizes to anyone in breach of these terms and conditions.
37. The Wine Society reserves the right to hold, void, cancel, suspend, or amend the competition where it becomes necessary to do so.
38. For further information on how The Wine Society hold and process your data, please refer to The Wine Society Privacy Notice. For the purposes of this competition, we will retain your submission for 18 months following from 11th March 2024. The Wine Society collects personal data to conduct the competition as is necessary for The Wine Society to be able to perform its agreement with the entrant and in order to comply with its legal obligations, including selecting the successful entrant, deliver the prizes and publish the results (as required by advertising regulations).

39. Insofar as is permitted by law, The Wine Society, its agents or distributors will not in any circumstances be responsible or liable to compensate the winners or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up the prizes except where it is caused by the negligence of The Wine Society, its agents or distributors or that of their employees. Your statutory rights are not affected.
40. a) The organiser must either publish or make available information that indicates that a valid award took place. To comply with this obligation The Wine Society will send the surname and county of the successful submission to anyone who emails memberservices@thewinesociety.com or writes to the Organiser’s address set out below in clause 42.
b) If you object to any, or all, of your surname and county being published or made available, please contact The Wine Society on 01438 741177 or by email at memberservices@thewinesociety.com. In such circumstances, the Organiser must still provide the information and successful entries to the Advertising Standards Authority on request.
The Wine Society is required to either publish or make available information, if requested, that indicates that a valid award took place. Accordingly, The Wine Society reserves the right to provide the forename and surname of the winner (or their unique channel username), together with their county and winning entry, if relevant, to anyone who contacts Member Services. The Wine Society will notify the prize winner in advance. The prize winner will be given the opportunity to request information published about them to be reduced. If the prize winner objects to any, or all, of the prize winner’s surname, county and winning entry being published or made available, please contact Member Services at The Wine Society. The prize winner should note that The Wine Society may be required to provide their information to the Advertising Standards Authority in the event of a challenge. Personal data supplied during the course of this competition will be processed as set out in The Wine Society’s Privacy Notice.
41. This competition will be governed by English law and entrants to the competition submit to the jurisdiction of the English courts.
42. The promoter of this competition is the International Exhibition Co-operative Wine Society Limited (‘The Wine Society’) a registered society under the Co-operative and Community Benefit Societies Act 2014 (register number 1824R) and whose registered office is at Gunnels Wood Road, Stevenage SG1 2BT.
